Our company has an opening for a full-time Accounting/Business Development Assistant at our Utica, NY office. The ideal candidate will perform a range of duties, however primary tasks will include monthly invoicing, assisting project managers with budget tracking, tracking of client and subconsultant agreements, and technical writing related to business development efforts for a technical service consulting firm. Our small-office environment requires a team player attitude and flexibility with a variety of daily tasks. The ideal candidate will be detail oriented and have excellent written communication skills.


  • Provide project support to technical staff. 

  • Develop and perform electronic submittal of monthly invoices for approximately 70± projects; coordinate invoice review with project and firm managers. 

  • Provide support to Project Managers, including budget tracking and notifications for invoice payments and overdue accounts. 

  • Set up new projects in our accounting system, including tracking and filing of client contracts and subconsultant agreements. 

  • Compose, proof, edit, format, and compile marketing proposals and materials for publications and presentations. 

  • Develop a working knowledge of the industry’s technical jargon, our company’s capabilities, history, employee skillsets, and project experience to assist with proposal development.  


  • Four-year degree in Business Administration, Economics, English, Accounting, Business Management, Business Data Analytics, or related field. 

  • Ability to work independently and in teams with a high level of organization. 

  • Proficiency with Microsoft Office/Office 365 (Word, Excel, Outlook, PowerPoint, Teams). 

  • Initiative to perform beyond their assigned tasks. 

  • Advanced writing and editing skills, including technical writing. 

  • Ability and desire to understand the industry and our firm’s capabilities and write about our various fields of work.  

  • Experience working with databases and accounting programs (i.e., Microsoft Access, QuickBooks Accounting) is a plus. 

  • Business development experience in an engineering or environmental consulting field is a plus.
